How Crown & Collar Institute May Review, Verify, Correct, Decline, Suspend, or Revoke Records When Documentation Concerns Arise

Crown & Collar Institute recognition is documentation-based and review-based.

Because awards, title codes, badges, directory listings, breed health reviews, working-canine prospect recognition, genetic restoration recognition, professional participation, and public records rely on submitted information, documentation integrity matters.

False, altered, incomplete, misleading, outdated, or unverifiable records may affect membership, recognition, title use, badge use, public records, directory listing, good standing, and future participation.

We’re not for everyone. That’s intentional.

SECTION 1

Why Documentation Authenticity Matters

Crown & Collar Institute exists to recognize documented stewardship, not unsupported claims.

Accurate documentation helps protect breeders, puppy families, professionals, dogs, litters, pairings, clubs, public records, and the meaning of platinum-level recognition.

SECTION 2

Records That May Be Reviewed

Health Testing Records

OFA, PennHIP, cardiac, eye, patella, elbow, thyroid, airway, respiratory, orthopedic, veterinary, specialist, or breed-specific testing documentation.

DNA Reports

DNA health reports, trait reports, carrier status, genetic diversity, COI/eCOI summaries, sire-dam comparison, and DNA-based pairing review records.

Registry and Pedigree Records

IOEBA, AKC, UKC, ABKC, APRI, other registry records, pedigree documents, litter records, ownership records, co-ownership records, and breeding-rights documentation.

Breeding and Reproductive Records

Whelping records, C-section history, neonatal outcomes, reproductive history, fertility notes, and maternal-care documentation.

Temperament and Development Records

Temperament notes, puppy development records, working-canine prospect documentation, family transition records, and early developmental observations.

Awards, Badges, Certificates, and Title Codes

Crown & Collar Institute recognition records, title codes, digital badges, certificates, seals, pedigree notes, and verification claims.

Professional and Contributor Records

Credentials, affiliations, recommendations, professional roles, advisory participation, research involvement, or contribution claims.

SECTION 3

Examples of Documentation Concerns

  • Claiming recognition before it was awarded
  • Using another dog's records
  • Using outdated records as current
  • Hiding disqualifying or concerning information
  • Omitting known health concerns

  • Misrepresenting Genetic Restoration & Preservation Recognition™
  • Claiming outside registry acceptance without written proof
  • Claiming university, veterinary, laboratory, nonprofit, or registry endorsement without written proof
SECTION 4

Verification May Be Requested

Crown & Collar Institute may request verification or clarification of submitted documentation.

Verification may include

  • Full copy of a report
  • Original file or clearer copy
  • Matching dog identification
  • Registry number confirmation
  • Microchip or permanent ID confirmation where applicable
  • Direct source link or database reference where available
  • Veterinary clinic confirmation where appropriate
  • Testing organization confirmation where appropriate
  • Updated documentation
  • Written explanation from the applicant
  • Correction of public wording
  • Removal of unsupported claims
SECTION 5

Applicant Responsibility

Applicants, members, breeders, professionals, contributors, clubs, and participants are responsible for submitting accurate information to the best of their knowledge.

Applicants should only submit records they are authorized to share.

Applicants should not alter, crop, edit, mislabel, obscure, omit, or reframe documents in a way that could mislead Crown & Collar Institute or the public.

SECTION 6

Incomplete Records

Incomplete records are not always dishonest.

Sometimes documents are missing, outdated, unclear, unavailable, or still pending.

Crown & Collar Institute may mark records as:

  • Additional Documentation Needed
  • In Review
  • Provisional
  • Not Verified
  • Deferred
  • Not Accepted
  • Incomplete

Incomplete documentation may delay or limit recognition.

SECTION 7

False or Misleading Records

False, altered, intentionally misleading, or knowingly incomplete records may affect good standing, membership, application review, recognition, title-code use, badge use, directory listing, public records, club involvement, professional participation, and future eligibility.

Crown & Collar Institute may correct, decline, suspend, remove, or revoke recognition or participation if documentation concerns are serious or unresolved.

SECTION 8

Public Claims Must Match Records

Public claims should match Crown & Collar Institute records exactly.

Breeders, programs, professionals, clubs, or participants may not publicly claim:

  • Recognition not granted
  • A higher level than awarded
  • A title code not recorded
  • Badge use not authorized
  • Health clearance not supported
  • Working-canine outcome not guaranteed
  • Genetic restoration approval not granted
  • Registry acceptance not documented
  • University, veterinary, laboratory, nonprofit, or registry endorsement not confirmed in writing
SECTION 9

Possible Review Outcomes

Accepted for Review

The document appears usable for review.

Clarification Requested

More information is needed.

Additional Documentation Needed

The submitted record is incomplete.

Unable to Verify

The record cannot currently be confirmed.

Correction Requested

Public wording, document labeling, or submitted information may need correction.

Recognition Deferred

Recognition may be delayed until documentation is clarified.

Recognition Declined

Recognition may be declined based on insufficient or unreliable documentation.

Suspension

Membership, listing, badge use, title-code display, or recognition may be paused.

Removal

A public listing, badge use, title display, or record may be removed.

Revocation

Previously granted recognition may be withdrawn if serious documentation concerns are discovered.

Good Standing Review

A broader review may be opened if documentation concerns affect trust or integrity.

Crown & Collar Institute may review documentation for recognition, records, membership, verification, good standing, and internal integrity purposes.

Crown & Collar Institute does not replace veterinary licensing boards, testing laboratories, registries, courts, law enforcement, animal control, professional licensing boards, legal counsel, accountants, CPAs, or tax authorities.

Records Should Be Worth Trusting

Crown & Collar Institute protects platinum-level recognition by requiring accurate, reviewable, and responsible documentation.
